Workload

Planyway helps you plan work across your team and see who is overloaded, who has available capacity, and how much work is already scheduled.

With the Workload view, you can assign tasks to team members, check workload indicators, and balance the plan directly on the timeline.

Set up your team and schedule work

To start managing workload, add your team members to the timeline.

Once people are added, you can schedule Trello cards for each team member and see who is responsible for what.

Turn on capacity

When capacity is turned on, Planyway shows workload indicators above the scheduled cards.

The workload indicator shows how many hours are already planned for a team member.

If a person is overloaded, the workload indicator is highlighted in red. This helps you quickly spot when someone has more work planned than their available capacity.

Workload is calculated based on:

  • Task estimate

  • Team member capacity

Task estimates are set inside the Planyway card. By default, each team member’s capacity is set to 8 hours per day.

Check total team workload

The Total lane shows workload across the whole team.

Use it to understand how much work is planned overall and whether your team has enough capacity for the selected period.

Balance workload on the timeline

You can adjust workload directly on the timeline.

Drag and stretch cards to change their duration. When you change a card’s schedule, workload is recalculated automatically.

Switch between workload scales

Use timeline scales to switch between a more detailed view and a higher-level view.

If you want to focus on capacity only, you can hide tasks and view just the workload indicators. This gives you a cleaner view of team availability without task-level details.
