Recurring tasks in Trello

Your Trello board might include recurring tasks like weekly reports, monthly meetings, and daily standups. Managing these repeating tasks can be challenging since Trello doesn't offer built-in support for recurring tasks.

Planyway for Trello simplifies this process, allowing you to set up recurring tasks without the need to manually update dates or use additional apps that clutter your board. With Planyway, set the recurrence once, and the tasks will automatically appear on your schedule as needed.

Creating a recurring card

To set up a recurring card:

1. Open the card editor in either Planyway or Trello (if you use Planyway Chrome extension).

Tip: Once you’ve installed Planyway for Trello, all your Trello cards with a due date will be shown in Planyway calendar. All new cards you create in the Planyway calendar will also appear in Trello. This means that you can set up a recurring card directly from Planyway or from Trello.

2. Click the repetition drop-down list and select the desired frequency for the card. You can also explore custom recurring options.

3. In the custom settings, define the duration for the recurrence.

Tip: Setting the recurrence to "Never" implies it will end in the year 2999. If you display end dates as due dates in Planyway, you'll see the due date set to 2999, indicating the final instance of the recurring card.

4. Once you've customized your recurrence settings, the series of tasks will appear in your Planyway calendar.

Tip: A recurring card is still a single Trello card, even though it has multiple entries in the Planyway calendar. It means there is a single due date for the entire series, but a different end date for each entry.

Editing a recurring card

You can edit all events in a series, a single event, or all subsequent events. Click the recurring card and choose the events you want to edit. For instance, if you need to add specific details to each occurrence, select "This card" each time. This will create a new card in Trello with the updated description. You can create as many exceptions as needed.

Tip: Editing a single event creates an exception, generating a new Trello card for that instance. Changes such as due dates, assigned team members, and descriptions will be reflected in the new card.

Completing a single instance of a recurring card

To mark a single instance of a recurring card as complete:

  1. Right-click the relevant card in the Planyway calendar and choose "Mark as complete".

  2. In the editing dialog, select "This card". This entry will be treated as an exception, allowing you to mark it complete without affecting other instances.

Important: All exceptions remain part of the original recurring Trello card. If you later edit "All cards", all exceptions, along with all previously added information, will be deleted and replaced with regular entries.
