Keeping your subscription up to date shouldn’t feel complicated. Whether you’re adding teammates, switching plans, or canceling — here’s how everything works in Planyway.
Subscription roles
In Planyway subscriptions there is one admin and multiple members. The admin is the person who manages the subscription, billing, and users. They can add, replace, or remove members at any time.
Add, replace, or remove users
Only users included in your Planyway subscription get access to all the premium features. Other members of your Trello board can still use Planyway — they’ll just be limited to the free version.
To add users:
Open the Users tab in your Planyway account.
Click Add user.
Enter the user’s full name, Trello username, or email connected to their Planyway account. Or, simply choose users from the drop-down list.
Tip: If you need to add more people to your subscription and you no longer have free seats, click Upgrade user count and increase the number of users in your plan.
To replace a user:
Open the Users tab in your Planyway account.
Click Replace and add another user instead.
To remove users:
Open the Users tab in your Planyway account.
Remove access for a user by clicking Remove.
Note: Changes to the number of users usually apply starting from the next billing cycle.
Once you’ve removed extra users, you can reduce the number of seats in your subscription. Just click Upgrade user count and adjust it to match your current team size.
Note: When you downgrade your subscription, refunds aren’t issued automatically. The unused amount is added to your account balance and will be applied to your next payment.
Display users on the timeline
The number of seats in your subscription defines how many users can appear on the timeline, grouped by members. This means that only the users included in your subscription will be shown on the timeline view.
Change your subscription plan
If your needs change, you can switch plans anytime.
Open the Billing tab in your Planyway account.
Click Change plan.
Select a new plan, payment period, or update the number of users.
Сlick Confirm plan change.
To switch from an annual to a monthly plan, just email us at support@planyway.com — we’ll help you sort it out.
Change subscription admin
The subscription admin is the person who manages billing and plan settings.
If you need to transfer this role:
Open the Users tab in your Planyway account.
Click Transfer ownership.
Enter the Trello full name, username, email, or Planyway ID of your new admin.
You can also update the billing email — this is where your receipts will be sent. It doesn’t have to match the admin’s email.
Click Transfer ownership to finish.
Cancel your subscription
If you decide to stop using Planyway, you can cancel anytime.
To cancel:
Open the Billing tab in your Planyway account.
Click Cancel subscription.
What happens after cancellation:
Your subscription remains active until the end of the current billing period.
All your data will be securely stored, and if you decide to resubscribe in the future, everything will be restored as it was.
You won’t be able to make any changes (like upgrading your plan or adjusting user count) after cancellation until you renew your subscription. If you need assistance with this, please reach out to our support team at support@planyway.com.

Planyway vs. Trello subscription
It’s important to note that Planyway and Trello are separate subscriptions. A paid Trello subscription does not automatically grant access to paid Planyway features. To fully benefit from Planyway’s premium plans, you’ll need to upgrade your Planyway subscription, even if you already have a Trello Premium.
Note: Planyway doesn’t require Trello Premium. You can use Planyway with the free version of Trello as well.
