Costs & revenue report

The cost & revenue report helps you understand the financial side of your projects. See planned and actual time, costs, revenue, profit, and margin in one report, and analyse the data across multiple Jira spaces.

Set the finance currency

Before creating the report, choose the currency you want to use for financial calculations.

  1. Open Settings.

  2. Go to Finance currency.

  3. Select the required currency.

The selected currency is used for cost and revenue calculations across all spaces in your domain.

Set cost and billing rates

To calculate project costs and revenue, add rates for your team members.

  1. Open Users.

  2. Select a user.

  3. Add their rates.

There are two types of rates:

  • Cost rate — how much an hour of this person's work costs your company.

  • Billing rate — how much you charge a client for an hour of their work.

You can set different rates for different periods if needed.

Understand the report columns

The report can include the following columns:

Planned time

The amount of work planned for the selected period, based on the estimates used in Planyway.

Actual time

The amount of time actually tracked by your team during the selected period.

Planned cost

The expected cost of the planned work.

Planned cost = Planned time × Cost rate

Actual cost

The actual cost of the tracked work.

Actual cost = Actual time × Cost rate

Planned revenue

The expected revenue from the planned work.

Planned revenue = Planned time × Billing rate

Actual revenue

The revenue generated from the actual tracked work that is marked as billable.

Actual revenue = Billable tracked time × Billing rate

Profit

The difference between actual revenue and actual cost.

Profit = Actual revenue − Actual cost

Margin

The percentage of revenue that remains after costs.

Margin = Profit ÷ Actual revenue × 100%

Customize the columns

You don't have to display every column in the report.

Open the Options menu to choose which columns you want to see. This lets you create a report focused on the information that matters to you.

Group your report

You can group the report to see your financial data from different perspectives.

Available grouping options include:

  • Space — compare projects or Jira spaces

  • Epic — see financial data for different Epics

  • User — see costs and revenue by team member

Filter the data

Use filters to narrow the report to the work you need.

You can set:

  • a specific date range;

  • Jira spaces and projects;

  • work items and other available criteria.

This makes it easy to create a report for a specific project, team, or period.

Because Planyway can connect multiple Jira spaces, you can also build a cross-space financial report and analyse several projects together.

Export the report

You can export the Cost & revenue report to Excel and continue working with the data outside Planyway.

The export includes the data from your configured report, including the selected columns, filters, and groupings.

This can be useful for:

  • financial analysis;

  • project profitability reviews;

  • client reporting;

  • budget planning;

  • preparing data for further analysis in Excel.
